Wandering Webmaster Terms of Service

Welcome to Wandering Webmaster (“WWM,” “we,” “us”). By accessing our website (wandweb.co), Discord server, or using any services, you agree to these legally binding terms.


1. Service Scope & Definitions

1.1 Core Services

WWM provides:

  • Web Design & Development (Standard/Large/Business Card sites)

  • Hosting Solutions (Australian-based servers with daily backups)

  • SEO & Social Media Management (Local rank tracking, GBP optimization)

  • Pay-In-12 Interest-Free Plans (Website financing)

  • Monthly Maintenance Partnerships (Personal/Business tiers)

  • In-Person Tech Support (Sunshine Coast/Mary Valley QLD)

  • Directory Listings & Citation Management

  • Email Services (Signature design, verification)

1.2 Supplemental Offerings

  • Site Transfers (From Wix/Squarespace/Shopify)

  • Third-Party Platform Design (Wix/Shopify customization)

  • Charity Website Development (Pro bono services)

  • Discord Community Support (WWM Gaming & WWM Services)


2. Account Management

2.1 Registration Requirements

  • Must be 16+ years (under 18 requires guardian consent)

  • Valid contact information & payment method (Stripe)

  • Prohibited: Bot accounts, duplicate profiles

2.2 Service Access Levels

Wandering Webmaster offers a range of digital services, each with specific access levels to ensure security, transparency, and effective collaboration. Access levels define the permissions and capabilities granted to clients, partners, and internal staff across our platforms, websites, and third-party integrations.

A. Client Portal & Account Access

  • Basic Member: Public content, general Discord channels

  • Client Access: Secure portal, private Discord, project tracking, ticketing

  • Maintenance Partner: All Client features plus priority support, reports, scheduling

  • Business/Agency Partner: All Maintenance features plus dedicated manager, analytics, early access, networking

B. Platform & Third-Party Integrations

  • Website CMS: Admin/Editor/Viewer access as needed

  • Social Media & Ad Accounts: Admin/Advertiser/Analyst as needed

  • Google Services: Manager/Standard/Read-Only as needed

  • Email & Domain: Admin/User as needed

  • Directory Listings: Submission/Verification as needed

C. Internal & Staff Access

  • Project Managers, Developers/Designers, Support, Finance/Admin—access based on role

D. Security & Access Management

  • Transparent requests, revoked on completion, client retains control, secure credential handling

E. Tiered Service Levels

3. Payment Terms & Billing

3.1 Accepted Methods

  • Stripe (Primary processor)

  • Direct bank transfer (AU institutions only)

  • No cash/PayPal/cheque acceptance

3.2 Payment Plans

Pay-In-12 Structure

  • Deposit & Payment Schedule:
    A 10% deposit is required upfront. The remaining balance is divided into 12 equal monthly payments, processed via direct debit through Stripe. All payments are interest-free (0% interest) for the duration of the plan.

  • Automated Billing & Notifications:
    Payments are automatically deducted from your nominated bank account or card on the specified date each month, as confirmed during your initial consultation.
    Customers will receive automated emails for:

    • Subscription renewal reminders

    • Upcoming renewal events (7 days before due date)

    • Card and bank payment failures

    • Invoice reminders (when due, 7 days after due, and 15 days after due)

  • Payment Method Management:
    Customers are responsible for keeping payment information up to date. You can update your payment method securely at any time via our Stripe-hosted customer portal.

  • Failed Payments & Late Fees:
    If a payment fails, Stripe will automatically retry up to 8 times over 2 weeks using Smart Retry.
    If payment is not successful after all retries:

    • Your website will become unreachable until payment is made.

    • You will receive reminder notifications via email.

    • If payment is not received within 14 days, your account may be suspended until all outstanding payments are settled.

    • Late fees apply: 5% of the overdue amount plus $15 AUD per week until overdue payment is settled.

    • Stripe may impose a retry fee for failed payments.

  • Subscription Pause:
    You may pause your payment plan for up to 60 days within the 12-month period. Hosting remains active during the pause, with no additional fees. To pause, email support@wandweb.co. Payments resume at your request.

  • Cancellation:
    You may cancel the Pay-In-12 plan at any time, but all outstanding amounts up to the cancellation date remain due.
    To cancel, submit a written request via email at least 14 days before your next scheduled payment.
    Upon cancellation, you are responsible for paying the remaining balance at the time of cancellation. Your website remains active until all due payments are settled. Failure to pay within 30 days may result in suspension and collection efforts.

  • Early Payment:
    You may pay off the remaining balance in full at any time without additional fees or penalties.

  • Ownership Transfer:
    Ownership of the website, including all content and design files, remains with Wandering Webmaster until all payments are made in full. Ownership transfers to you once the final payment is received.

  • Service Suspension & Reactivation:
    If your account is suspended due to non-payment, all website functionalities will be halted. Reactivation requires payment of all overdue amounts.

  • Additional Fees:
    If your direct debit fails (e.g., insufficient funds), Stripe may charge a retry fee. Wandering Webmaster has no control over these costs.
    Continued payment failure may result in additional legal fees for debt collection.

  • Non-Transferability:
    The Pay-In-12 plan is non-transferable and applies solely to the agreed website project. It cannot be transferred to another website or project.

  • Modifications:
    Wandering Webmaster reserves the right to update these terms or Stripe-related billing settings at any time, with or without notice. These rules apply to all customers and all services unless otherwise agreed in writing.

Maintenance Partnerships

  • Auto-renewal with 14-day cancellation notice

  • Suspension after 7-day payment delinquency

3.3 General Stripe Billing & Notification Policies

  • Invoice Payment Window:
    Unless otherwise specified, all invoices are due within 4 days of being sent.

  • Invoice Reminders:
    Automated reminders are sent when an invoice is due, 7 days after due, and 15 days after due.

  • Overdue Status and Suspension:
    If an invoice or subscription remains overdue for more than 30 days, your account may be suspended and subject to collection.

  • Disputed Payments:
    If a payment is disputed, your subscription status will be set to overdue until the dispute is resolved. Services may be paused during this period.

  • 3D Secure Payments:
    Some payments may require additional authentication (3D Secure) for your security. Please follow the instructions provided in the payment prompt, as recommended by Stripe.

  • Invoice Attachments:
    All invoices include downloadable PDF copies for your records.

  • Tax & GST:
    Wandering Webmaster is not currently required to charge GST. This may change in future without warning. All invoices will reflect the current tax status at the time of issue.

  • Rounding:
    Small rounding differences may occur on invoices due to Stripe’s automated calculation and rounding settings.

3.4 Refund Policy

Australian Consumer Law Compliance

Wandering Webmaster fully complies with Australian Consumer Law (ACL). You are entitled to remedies such as refunds, repairs, or replacements if our services fail to meet consumer guarantees of acceptable quality, fitness for purpose, or do not match their descriptions.

Service-Specific Refund Terms

  • Refunds processed via original payment method (Stripe or bank transfer).

  • Refund requests must be submitted within 14 days of service completion.

  • Customers may be required to provide evidence for technical claims.

  • Disputes may be referred to mediation through the Queensland Small Business Commissioner.

4. Service-Specific Conditions

4.1 Web Development

  • File Ownership: Transfers upon full payment

  • Portfolio Rights: WWM retains demonstration rights unless NDA exists

  • Revisions: 2 rounds included, $55/hour thereafter

4.2 Hosting Infrastructure

  • Uptime SLA: 99.5% (excludes scheduled maintenance)

  • Backup Protocol: 7-day retention, $75 restoration fee

  • Resource Limits: As per selected plan limits provided in your quote

4.3 SEO/SMM Services

  • Keyword Guarantees: Position improvements not guaranteed

  • Content License: Client provides assets or Wandering Webmaster can provide royalty-free resources

  • Reporting Frequency: Quarterly performance reviews


5. User Responsibilities

5.1 Content Standards

  • No illegal/harassing/discriminatory material

  • Compliance with Australian Copyright Act 1968

  • Responsive to update requests within 72hrs

5.2 Technical Obligations

  • Maintain valid domain registration

  • Secure credentials (2FA recommended)

  • Regular CMS updates (WordPress core/plugins)


6. Discord Community Rules

Wandering Webmaster operates an inclusive Discord community for WWM Services and WWM Gaming. By participating in our Discord server, you agree to uphold the following rules and standards, designed to foster a safe, respectful, and enjoyable environment for all members.

6.1 Core Community Rules

  • Respect Each Other: Discrimination or hate speech of any kind—including but not limited to race, ethnicity, gender, sexual orientation, religion, or any other personal characteristic—will not be tolerated.

  • No Spamming: Do not flood channels with repetitive, irrelevant, or disruptive messages, links, or images.

  • Keep it Appropriate: Explicit, NSFW (not safe for work), or otherwise inappropriate content is strictly prohibited.

  • Follow Discord’s Terms of Service: All members must comply with Discord’s Terms of Service and any applicable local or international laws.

  • Report Any Issues: If you witness rule violations or encounter problems, promptly inform moderators via our reporting system or by tagging @Helpers or @Moderators.

  • Be Kind and Courteous: Treat all members with kindness and respect, fostering a positive and supportive community atmosphere.

  • Stay on Topic: Keep discussions relevant to each channel’s purpose. Avoid derailing conversations with unrelated topics.

  • Use Appropriate Language: Offensive language, profanity, or derogatory remarks that may upset or offend others are not permitted.

  • Respect Privacy: Do not share personal information (including addresses, phone numbers, or private conversations) about yourself or others without explicit consent.

  • No Advertising Without Permission: Business promotion is allowed, but do not promote external products, services, or communities that may adversely affect WWM without prior approval from moderators or administrators.

6.2 Additional Guidelines

  • Exercise Good Judgement: Always act with respect and kindness. Treat others as you would like to be treated.

  • Promote Positive Engagement: Contribute to meaningful discussions and help create a welcoming, inclusive atmosphere for all.

  • Enjoy the Experience: Our goal is to foster an enjoyable and inclusive environment. Have fun and make the most of your time here!

6.3 Moderation & Enforcement

  • Moderator Discretion: This list of rules is not exhaustive. Moderators may address any behaviour or breaches of conduct not explicitly outlined here. Always exercise sound judgment and discretion when interacting on the server.

  • Automated Moderation: We employ moderation bots and tools that monitor activity 24/7. However, community reporting is essential for maintaining standards.

6.4 Reporting & False Reports

  • Reporting Violations: If you observe a rule violation, please submit a report via our reporting form or notify a moderator directly. All reports must be made responsibly and truthfully.

  • Consequences for False Reports: Submitting false reports undermines the integrity of our community. Consequences may include, but are not limited to:

    • Warning: A formal reminder regarding the seriousness of false reports.

    • Temporary Suspension: Loss of Discord privileges for a period ranging from a few days to a week.

    • Permanent Ban: In extreme cases or for repeat offenders, a permanent ban from the community.

7. Intellectual Property

7.1 Client Assets

  • Full ownership of provided logos/copy/media

  • WWM license for service implementation

7.2 WWM Property

  • Template designs remain WWM copyright

  • Prohibited: Reverse engineering/rebranding

7.3 Third-Party Assets

  • Client responsibility for licensed fonts/plugins

  • GPL compliance required for WordPress themes


8. Termination & Suspension

8.1 Client-Initiated

  • 30-day written notice for partnerships

  • Data export available for 14 days post-termination

8.2 WWM Rights

  • Immediate suspension for:

    • Payment delinquency >30 days

    • TOS violations

    • Illegal activity

8.3 Data Retention

  • 90-day backup post-termination

  • $150 archival retrieval fee


9. Liability & Disclaimers

9.1 Service Limitations

  • No guarantee of SEO ranking improvements

  • Third-party integrations at user’s risk

  • Maximum liability: 6 months service fees

9.2 Force Majeure

  • Exemptions for:

    • Natural disasters

    • ISP outages

    • Cyberattacks

    • Services outside of Wandering Webmasters control


10. Dispute Resolution

10.1 Mediation Process

  • Written complaint via support@wandweb.co

  • 14-day negotiation period

  • QLD-based arbitration if unresolved

10.2 Governing Law

  • All payment disputes will be handled through the Sunshine Coast courts in Queensland, Australia.

  • Compliance with Australian Consumer Law


11. Amendments & Notices

  • 30-day advance notice for material changes

  • Continued use = acceptance

  • Major revisions announced via:

    • Website banner

    • Discord #📌┃notice-board

    • Registered email
